In today’s post, we’re looking at how our nationwide Process Servers can help when you need documents served outside your local area, at several addresses or here in the UK on behalf of an overseas client.

Finding someone to attend is only part of the job. You also need to know when they can visit, what the fee includes and what evidence you will receive afterwards.

At PB Process Servers UK Ltd, we bring those arrangements together. You send us the papers and instructions, and we coordinate attendance through our nationwide network. We keep you informed and provide a clear account of the outcome.

Local Attendance With One Point of Contact

You might be a solicitor in London needing papers served in Leeds, a business with recipients in several towns or an overseas attorney arranging service at a UK address.

Rather than finding a separate provider for each location, you can ask us to handle the arrangements. We allocate the work to an appropriate local Process Server, taking account of the address, deadline and circumstances.

Working locally can reduce travel and give us more flexibility when planning visits. That is useful when an evening attendance may be more productive or further attempts are needed.

Our network covers almost all of the UK, including major cities, smaller towns and rural areas. Some locations need more planning than others, so we’ll check availability and explain any practical limitations before agreeing the work.

If new information points to an address elsewhere, we can discuss attendance there too. You can continue dealing with us rather than having to explain the background to another provider yourself.

What We Can Help You Serve

We serve a wide range of court papers and legal documents, including Claim Forms, Court Orders, Divorce Papers, Statutory Demands, Injunctions and Bankruptcy or Winding-Up Petitions.

We also assist overseas lawyers and attorneys who need documents served in the UK. These instructions may involve Summonses, Complaints, Writs, Citations or other papers issued abroad.

The arrangements depend on the documents and the requirements of the particular matter. Please include any court directions and specific instructions about service, together with details of the evidence needed afterwards.

Our role is to carry out the service and record what happens. Where a legal question arises about the permitted method or the effect of service, your solicitor or lawyer should advise.

Getting Your Instruction Underway

We need the complete documents, the recipient’s full name, the address for attendance and your deadline.

Useful background might include a recent photograph, known working hours, a workplace address, vehicle details or notes from previous attempts. Please also flag access difficulties and any safety concerns.

The client or solicitor acting will often already know the details that could make a difference to the visit. Put those in a short covering instruction, even if they also appear somewhere in the papers.

We would much rather spend time out serving your documents than searching through a lengthy bundle for an alternative address or an important detail about the recipient’s availability.

Once we have the information needed, we’ll confirm the fee, what it covers and the attendance arrangements.

Standard, Priority and Same-Day Options

Some instructions allow time for visits over several days. Others need attention urgently.

We offer Standard, Priority and Same-Day attendance options, subject to availability and the circumstances. Tell us the actual service deadline, including the time where relevant, as well as any hearing date.

If you know the recipient is about to move, travel or be at a particular location for only a short period, explain that when you contact us. It may affect how we plan the attendance.

For same-day requests, the location, the time we receive the instruction and when the papers are ready all matter. Contacting us early gives us more opportunity to check local availability and make the arrangements.

We’ll be straightforward about what we can offer. An urgent attendance cannot guarantee that the person will be present, but it can give you an earlier account of the position and more time to respond if a problem arises.

What Our Fixed Fee Includes

You should understand the cost before instructing us.

Our fixed fee is charged per case and address. For service on a private individual, it includes up to three attendances at a single address, where necessary, together with the agreed proof of service following successful service.

If the documents are served on the first visit, further attempts are unnecessary. Where another visit is needed, we consider different times or days and any information about the recipient’s routine.

Additional addresses, multiple cases, urgent work or separate enquiries may involve further charges. We’ll explain the quotation and scope so you know what is included.

The fee covers the agreed work; it does not depend on the recipient choosing to answer the door. If circumstances change and additional work is proposed, we’ll discuss the arrangements and cost with you before proceeding.

What Happens During Attendance?

Our Process Server attends the instructed address, takes the appropriate steps to identify the recipient where required and carries out service where possible.

We record the relevant facts: the date and time, location, people spoken to, how identification was established and what happened to the papers.

If nobody answers or access is restricted, we report that. If an occupant says the recipient has moved, we explain who provided the information rather than present it as something we independently confirmed.

Sometimes the outcome is straightforward. At other times, the visit raises questions that need your input. We’ll tell you what we have established and what remains uncertain, so the next step can be considered using the information available.

Difficult Addresses and Further Attempts

Not everyone is available at home during normal working hours. An evening or weekend visit may offer a better opportunity, particularly where you have useful information about the person’s routine.

A workplace attendance may also be appropriate where the address is known and the instruction supports it. We handle these visits discreetly and avoid discussing the underlying matter unnecessarily with colleagues or reception staff.

Flats with controlled entry, gated properties and rural addresses can present different practical difficulties. Entry details, directions or a photograph of the correct building can save time.

An unanswered door does not automatically mean someone is avoiding service. We look at the findings from each visit and use them to plan further attempts rather than simply repeat the same approach.

If the Address Is Uncertain

If there is doubt about whether the recipient still lives at an address, tell us before attendance. The same applies if earlier visits or returned correspondence have raised questions.

We can discuss an enquiry agent field visit where you need information checked at a known location. These visits are available to solicitors, businesses and members of the public, subject to the purpose and agreed scope.

Address tracing is a separate service. We only accept tracing instructions from solicitors, to help establish a legitimate, lawful reason for seeking someone’s address.

Where enquiries identify a possible new address, we can discuss whether attendance for service is the next practical step. Neither tracing nor a field visit can guarantee that a person will be located, and we’ll be clear about the limitations of the findings.

The Evidence You Receive Afterwards

Following service, we prepare the appropriate proof for the instruction. Depending on the requirements, this may be a Certificate, Statement, Return or Affidavit of Service.

If an affidavit needs to be sworn before a solicitor or Notary Public, we can discuss those arrangements and any additional charges.

Please supply any particular form or wording at the outset, especially for overseas proceedings. Let us know when the evidence is needed too, so we can plan the paperwork alongside the attendance.

Where service remains unsuccessful, we provide a report of the attempts and relevant findings. A Statement of Attempted Service can also be prepared where required.

The account should accurately explain what happened. Any legal assessment of the evidence or the validity of disputed service remains for your legal adviser.

How We Can Help

Whether you need one set of papers served nearby or several recipients attended across the country, we can coordinate the work and give you one point of contact throughout.

Send us the documents, the address details and your deadline. We’ll review the instruction, confirm availability and explain the fee and what it includes.

You can then leave the practical arrangements with us, knowing who to contact and what to expect after attendance.
